User Management

Guide

  • Table View

    • To view all system users, follow these steps:

      • Sign in to the system with your credentials.
      • Navigate to User Management from the left navigation menu under the Administration section.
      • This section displays a list of users at every user level.
      • The table view allows you to see user details easily. The columns are as follows:
        • Full name - Displays the full name of each user.
          • Sorting - Sorts the list alphabetically.
          • Search - Searches any record by a user's name.
        • Email Address - Shows the user's email address.
          • Sorting - Sorts the list alphabetically.
          • Search - Searches records by email address.
        • User-Level - Displays the user's level in the system.
          • Sorting - Sorts the list alphabetically.
          • Column Filter - Filters the records based on a specific user level.
        • Entity Name - Name of the entity with this user is added.

          • Sorting - Sorts the list alphabetically.
          • Search - Searches records by entering entity name.
        • Status - Shows whether the user is active or inactive.
          • Sorting - Sorts the list alphabetically.
          • Column Filter - Filters records based on status.
          • Mark user as Inactive - Restricts a user from accessing the system. Use the toggle to mark a user inactive.
          • Mark user as Active - Removes the access restriction. Use the toggle to mark a user active.
          • [Note → User won't be able to inactive themselves, an error message will be displayed in toast message] 

        • Actions - Provides options to edit or resend the invitation to the user who has not onboarded yet to the system.
          • Edit Details - Opens an edit screen to modify the user profile.
          • Email Icon - As soon as we add user to the system, user will receive an email invitation to join the platform automatically. If user did not onboarded yet and wants the invitation again, through this link, we resend the invitation to the user.

  • Add User

    • Adding a new user to the system is simple. Follow the steps below to invite your new user:

      • Sign in to the system with your credentials.
      • Navigate to "User Management" under the "Administration" section from the left navigation menu.
      • Click on the "Add User" button on the bottom right to be redirected to the "Add User" page.
      • On this page, you can quickly input basic details to invite your new user.
        • The first section is "Basic Information." Here, you can fill out:
          • Full Name - 
            • The user's full name.

            • Mandatory to add.

          • Email Address - 
            • The user's unique email address.

            • Mandatory to add. 

          • Phone number - 
            • The user’s phone number with ISD code.

            • Not mandatory to add. 

          • Title - 
            • The title of the user in the organization. 

            • Not mandatory to add. 

          • Reports To - 
            • Select an existing user from the system to set up the organizational hierarchy or "Add Manager" to choose the user to whom this user will report.

            • This can be ignored as of now as this is under construction. 

        • The next section is "User Level." These levels are dynamic and based on your user level in the system. Choose the option that fits the new user:
          • Customer - 
            • Select this option for users who require full administrative access, including financial tracking and system management. This level is for users at the top tier of the organization.

          • Sub-customer - 
            • Choose this level for users who are brokers. This grants access to customs entry functionalities, but restricts access to sensitive financial information. Select the specific sub-customer from the dropdown to assign the user to.

          • Company - 
            • Onboard company level user to provide the visibility into their shipments and related processes. Select the company from the dropdown to associate the user with.

            • Once user selects the sub-customer, will see another drop-down to select from the list of all companies associated with that sub-customer. 

          • Parties - We have segregated the parties in three parts for access control.
            • Broker / Forwarders

              • This level is for external customs brokers and forwarders who will clear customs for associated companies. 

              • This is primarily used for the KlearNow engine

            • Other Parties

              • These include all the parties involved in the transactions based on country. 

              • Example → Buyer, manufacturer, seller, vendor etc.

              • Users at this level will only have access to add their team member to the system, visibility of their shipments in which they are associated through the company and for the reports. 

            • Dray Provider

              • This is currently under construction.

        • User Role - Select one or more roles from the dropdown list to define the user's access to specific modules and functionalities.
          • These roles are variable and dependent on the user level. 

            • This to control the access. It means a company level user will not see the list of roles created for customer level or sub-customer level and so on.  

          • On hovering the mouse over the role, you will see an icon to see what permissions are added under that specific role. 

          • Multiple roles can be assigned to the user.  

Actions
After filling out the details, proceed with the following actions:

  1. Add User - Click the "Add User" button at the bottom. The system will execute the action. Upon successful completion, you will be redirected to the table view, and a toast message will appear at the top, indicating that the user has been added successfully. The new record will also be visible in the table view.
  2. The added user will receive an email invitation to join the platform.
  3. Cancel - To abort the process of adding a new user, simply click the Cancel button.
