Customs Engine - Transaction Manager Import Entry

Guide

To begin filing an entry for a shipment, follow these steps:

  • Navigate to the Transaction Manager:

    • Open the application or system where the shipment table is located.

    • Look for the option or menu labeled "Transaction Manager."

  • Select Entry:

    • Within the Transaction Manager, find and select the "Entry" option.

    • This action will direct you to the interface where you can start the entry filing process for a shipment.

To create an entry for a shipment, follow these steps:

  • Navigate to the shipment table to see all the ingested shipments and their respective statuses.

  • Identify the shipment for which you want to create an entry.

  • Locate the plus icon (usually represented by a "+" sign) beside the specific shipment.

  • Click on the plus icon to initiate the entry creation process for the selected shipment.

  • Click Yes to proceed with entry creation.

From the action icons, you can now perform the following actions with the transaction:

  • View transaction

  • Edit Transaction

  • View Documents 

We want to select the Pencil to begin editing the transaction. 

This will open up the transaction screen where we have our documents on the left and the form on the right. 

To begin editing the transaction, click the start job button in the top right corner of the right panel as shown below

Only one user can edit the transaction at a time. If another user is already in the file, then the “Start job” button will change to “Take over” and the other user will be kicked out of the transaction. 

The Form section on the right panel is made up of several tabs. The Header, Line items, BOL information, Parties, Signature and Notes. Any errors or missing items from a tab will have a red circle with the corresponding number of action items listed. 

Header Section

In this section is general information related to the transaction. Most of this information should be filled in from the ingestion process of the shipment(s) that make up this entry. 

Bill of Lading (BOL)

In this section is the information for the Bills of lading that make up the transaction. In our system, a Shipment is defined as one Master Bill of Lading MBL with a corresponding house bill of lading HBL (if one exists). An entry can be composed of several consolidated shipments if the criteria is met for them to be filed together. This is handled under the consolidation screen from the shipment table. If another Shipment/BOL needs to be added to an existing entry transaction, it can be done here by selecting "Search BOLs"

Container Tab

In this tab all the high-level information for each container on the Entry is listed. The totals are automatically aggregated. 

If you need to add a container that was not captured in intake, you can do so here, and the totals will update accordingly. 

Parties Tab

In this tab all the parties for the transaction are listed. In the example shown below we have an error because a manufacturers ID (MID) is missing from one of our manufacturer's forms. 

If the manufacture ID (MID) is showing an error, the user can click the MID query text in the full name field to run a MID query

If the address or ID is missing the user can click add manually will open up a form. 

Here, the form will be prepopulated based on the content in the parties tab. If there is no existing ID at customs for the manufacturer it will show that here. Clicking add Manufacturer will add this address and ID as a new manufacturer in the data base. 

Once any errors or missing information in the parties' tab is updated the tab should no longer have a red indicator by it. 

Line Items

In this Tab we see each Line item for the entry. The user can use the document panel on the left-hand side to compare the commercial invoice(s) with the form on the right. As changes are made such as adding charges, adding line items, or other deductions, the totals will be updated at the top. 

Signature Tab

Here the broker will declare that they are an authorized agent of the importer of record

Notes Tab

Here notes can be added about the entry. The user has the option to mark a note as “Hot” giving it added priority. The user will be able to run a report on all their outstanding “Hot” notes on the platform. A note can also me marked as closed if the corresponding issue for the note has been resolved. 

Submitting the Entry

Once all errors and missing items have been resolved, the broker may select “final review” to proceed to submitting the entry to customs. 

Clicking final review will open up the generated entry summary page for final review. If you need to you can download this file using the download button in the top right of the entry summary window. You can also print it. When everything is verified the broker may select the “Accept” button to proceed. 

Entry Submitted

After filing the status of the entry will change as updates are made with customs.

Once accepted, it should look as follows. More details are shown by selecting “Status Detail” which will show the history of exchanges between customs and the platform.
